Role Summary The Commercial Facilities Operations Specialist will be responsible for supporting the Commercial Facilities Operations Manager in ensuring our Spaces (Retail) locations operate as effectively as possible while providing exceptional customer experience. This role will manage new site openings and provide ongoing facilities support within their region; this involves overseeing site improvements, repair & maintenance escalations, landlord and construction warranty activities while staying in close communication with local site teams and ensuring Rivian’s standards are met throughout the process. Additionally, this role will support the rollout of large-scale programs and ad hoc projects while working collaboratively across multiple departments to achieve operational success. Responsibilities Manage the New Site Opening (NSO) process within your territory from development through project completion in partnership with our Real Estate, Design, EHS, IT, Security, Construction, Retail Operations, Marketing, and Site teams Establish and maintain relationships with key stakeholders and responsible for on time delivery of project tasks Intake and validate new projects and site improvement requests for the greater Facilities organization Conduct and attend potential new site tours, warranty walks, and site visits Update and maintain accurate records and official documentation for your respective region. Track and report key performance indicators to be included in Quarterly Business Reviews Track, manage and analyze purchase requisitions and operating expenses; identify and report any inconsistent data to determine impact and/or accuracy of expenses Implementation of facilities management programs and procedures needed to keep the Rivian facility operating at its best and adhering to brand standards. This includes hosting formal and ad-hoc training for local site teams Ensure all repair and maintenance work order escalations are responded to, assess as required and take the necessary corrective action; all within a timely manner and while exceeding Rivian expectations Qualifications 4-5 years of facilities and/or project management Experience providing customer service in a fast-paced and dynamic environment Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail Strong and creative problem-solving skills Knowledge of project management tools. Knowledge of CMMS software is a plus Proven project management skills, including knowledge of project management vocabulary and terminology Proven ability to manage third party vendor relationships Experience reviewing lease documents and working closely with landlords/property managers is a plus Highly motivated, self-starter, with the ability to shift focus very quickly and adjust to rapidly changing priorities Excellent verbal & written communication and critical thinking skills. Training experience is a plus Ability and willingness to travel up to 75% as needed (travel will taper off as openings subside) Pay Disclosure Salary Range for Palo Alto, CA based applicants: $107,000 - $133,000 annually (Actual compensation will be determined based on experience, location and other factors permitted by law). Salary Range for Irvine, CA based applicants: $98,000 - $123,000 annually (Actual compensation will be determined based on experience, location and other factors permitted by law).
