Kairos Power is a new nuclear energy technology and engineering company whose mission is to enable the world’s transition to clean energy, with the ultimate goal to dramatically improve people’s quality of life while protecting the environment. This goal will be accomplished through the commercialization of the fluoride-salt-cooled, high-temperature reactor (FHR) that can be deployed with robust safety, affordable costs, and flexible operation to accommodate the expansion of variable renewables.

Job Summary

The Facilities Coordination Manager is responsible for ensuring the effective coordination of site services at Kairos Power Southwest (KP-SW) facility to support R&D testing, manufacturing, laboratory, warehousing, and office functions. Reporting to the Senior Manager, Facilities in Alameda, CA, this role ensures that facilities operates securely, efficiently and safely. Key responsibilities include overseeing security of the site to maintain a safe working environment, facilitating daily coordination meetings to align site activities, managing contracts for site services, and providing logistical support. The Facilities Coordination Manager will also communicate essential updates to KP-SW employees regarding security incidents, inclement weather, safety issues, shutdowns/outages, and special events. Additionally, the role involves supervising a team responsible for material management, handling space management and assisting with new facility turnover from the construction projects team. Strong organizational and managerial skills, along with excellent interpersonal and communication abilities, are essential for promoting cross-functional collaboration among existing management staff.

Responsibilities

  • Maintains general awareness of all activities going on at the KP-SW site and develops a solid understanding of the various goals of the different departments performing R&D, Manufacturing, and supporting activities.
  • Regularly checks in with key stakeholders across various departments.
  • Hosts a daily 30–60-minute standup meeting every morning with representatives from all departments to review new or ongoing activities on the site. Tracks participation and captures notes to ensure important information is shared between stakeholders.
  • Communicates critical information sharing to support shutdown/outage planning and coordination of important shipping, receiving, and construction activities.
  • Hosts a monthly Space Allocation meeting with stakeholders at the site to discuss changes to space allocation, new space requests, and develop recommendations for the Responsible Executive’s approval.
  • Maintains awareness of and visual records/drawings of space allocation throughout the site, covering space assignment across buildings and grounds, plus adjacent properties.
  • Uses knowledge of the local area, real time information, and sound judgment to make recommendations on inclement weather procedures and employee communications based on the Company’s Inclement Weather Policy.
  • Administers the access control system for the site and coordinates changes to Access Privileges based on requests from end users and supervisors and approvals by departmental stakeholders.
  • Works with the Marketing and Communications Team, EHS Team, and other stakeholders as needed to ensure Crisis Communications are properly managed and adhere to the Company’s Crisis Communications Plan.
  • Works with the EHS team, IT group, and Construction Projects team to ensure radio communications equipment and public address systems are working, staff are properly trained to use them, and regular testing of these systems is performed.
  • Is on-call 24/7 to respond to Security Incidents, Utility Outages, Operational Incidents, Inclement Weather, and other Environmental Circumstances affecting the site.
  • Manages internal discussions and contracts for services to support multiple departments or originate from a single department but may extended for broader site-wide coverage.
  • Interfaces with Managers regularly and occasionally with Directors and Officers; leads or assists with site visits and tours of the facilities by Regulators, Investors, Potential Investors, Business Partners, and Political Figures.
  • Attends Weekly, Monthly, and Quarterly Safety meetings and is an active member of the business support team to promote the site’s Kairos Safety Management program.
  • Oversees commissioning of newly constructed buildings and their handoff from Construction Projects Contractors to Kairos Power Facilities O&M staff.
  • Other duties as assigned including special event support and backup coverage for Material Handling duties and receipt of deliveries (forklift, telehandler, crane operation)
  • Manage a small team of Materials Handlers who perform shipping and receiving duties, along with chemical inventory management and waste/recycling/scrap services.
  • Other duties as assigned.

Qualifications

  • Bachelor’s Degree in a relevant field of study or engineering discipline.
  • 5+ years of experience in operations management or support role in an industrial or R&D campus setting supporting manufacturing, processing plant, or R&D activities.
  • Strong knowledge of facilities operations & maintenance.
  • Solid understanding of construction project management.
  • Familiarity with warehouse operations and safety protocols.
  • Solid understanding of chemical and laboratory safety practices.
  • Proven team player with excellent verbal, written communication/presentation, and interpersonal skills.
  • Willingness to serve as an after-hours contact for incidents and emergencies, with 24/7 accessibility via phone, text, and internal messaging systems.
  • Commitment to undergo safety training and work in buildings store very low-level radiation source materials and beryllium containing materials.
  • Strong communicate skills for interacting with first responders, insurance inspectors, and other government officials on-site.
  • Ability to walk around operating machinery, moving vehicles, roof areas and unpaved areas.
  • Capability to wear hard toe shoes, hard hat, hearing, and eye protection.
  • Ability to perform checks and be able to see, hear, and smell changing conditions.
  • Ability to don and use a fall protection harness to access certain work areas.
  • Preparedness to wear to don wet weather gear and perform job functions outdoors during inclement weather.
  • Ability to work with highly collaborative team.
  • Ability to solve problems quickly and efficiently.
  • Prioritizes and ensures safety of oneself and others.
  • Ability to proactively collect, manage and transfer knowledge.
  • Ability to seek different and novel ways to create efficiencies when working on problems, challenges and issues.

Physical Conditions

  • Ascending or descending ladders, stairs, scaffolding, ramps, scissor lifts, articulated boom lifts and the like
  • Setting up and transferring temporary structures (e.g. scaffolding, ladders)
